Delete User Added Transfer Courses

This article provides instructions for deleting User Added Transfer Courses in TES®.

Institutions have the option to delete User Added Transfer Courses (and all components of User Added Courses, including Institutions, Data Sets, and Departments) if so desired. Before doing so, however, it's important to understand the ramifications in terms of loss of historical data, record keeping, etc. If, after consideration, an institution chooses to delete this information, it can be done by following the steps below.

User Added Transfer data must be deleted in the opposite order in which it was created. Proceed with deleting data in the order outlined below:

  1. Delete Open Evaluation Tasks and Equivalencies to the User Added Transfer Course
  2. Delete the User Added Transfer Course
  3. Delete the User Added Transfer Department
  4. Delete the User Added Data Set
  5. Delete the User Added Institution

User Rights

The SERVICE EVAL and MANAGE EVAL user rights are required to access the All Open Evaluations queue and close evaluation tasks. They are additionally required to access the All Closed Evaluations queue and delete evaluation tasks.

The CREATE EQ user right is required to delete User Added Courses, Departments, Data Sets, and/or Institutions.

Delete Open Evaluation Tasks and Equivalencies to User Added Transfer Courses

Open Evaluation Tasks

If the User Added Transfer Course is part of an open (or pending) evaluation task, when going to edit the course, the Delete button will be disabled. The user will need to close and then delete any open evaluation tasks before being able to delete the User Added Transfer Course.

To do so:

  1. Go to the Track menu.
  2. Select All Open Evaluations.
  3. Select the arrow to the left of the User Added Transfer Institution's name ("Select an institution").
  4. Select the arrow to the left of the SEND COURSE(S) within the evaluation task ("Select a course").
  5. Within the Select an Action drop-down, select Close.
    • Leave an optional note, if desired.
  6. Proceed to the steps under "Closed Evaluation Tasks."

Closed Evaluation Tasks

If the User Added Transfer Course is part of a closed evaluation task, when going to edit the course, the Delete button will be disabled. If an equivalency has not been created from the task, before deleting the User Added Transfer Course, the user will need to either (1) reopen the closed evaluation task and replace the User Added Transfer Course with another course (such as a placeholder or an instance in another data set) or (2) delete the evaluation task.

To delete the evaluation:

  1. Go to the Track menu.
  2. Select All Closed Evaluations.
  3. Select the arrow to the left of the User Added Transfer Institution's name ("Select an institution").
  4. Select the arrow to the left of the SEND COURSE(S) within the evaluation task ("Select a course").
  5. Select Delete.
  6. A message will appear asking for confirmation that the evaluation task should be deleted.
    • Select OK.

Closed Evaluation Tasks: Equivalency Created

If the User Added Transfer Course is part of a closed evaluation task and an equivalency has been created from it, the user will need to delete the equivalency from the Equivalency Manager before being able to delete the User Added Transfer Course.

  1. Go to the Match menu.
  2. Select Equivalency Manager.
  3. Select the arrow to the left of the User Added Transfer Institution's name ("Select an institution").
    • If helpful, use the letter index or the INSTITUTION SEARCH box to locate the institution.
  4. Select the arrow to the left of the SEND COURSE(S) within the equivalency ("View/Edit course equivalency").
  5. Select EQ Delete.
  6. A statement will appear indicating that all references to this equivalency will be deleted; this includes references in Course Equivalency Groups and Reports. This action cannot be undone.
    • Select Confirm to proceed.

Repeat the above steps to close and delete all evaluation tasks containing, and equivalencies established to, the the User Added Transfer Course that needs deletion.

Delete User Added Transfer Courses

Once all evaluation tasks and equivalencies associated with the User Added Transfer Course have been deleted, the course itself can be deleted from TES®.

  1. Go to the Match menu.
  2. Select User Added Courses.
  3. Toggle the Transfer Data radio button.
  4. Select Submit.
  5. Within the User Added Institution page, select the arrow to the left of the institution's name ("Select an institution").
  6. Within the User Added Data Set page, select the arrow to the left of the applicable catalog name ("Select a data set").
  7. Within the User Added Course Department page, select the Department in which the course resides from the DEPARTMENTS / COURSES drop-down.
  8. Select the Edit course button to the left of the COURSE CODE.
  9. Select Delete.
  10. A message will appear asking for confirmation that the course should be deleted.
    • Select OK.

Repeat these steps if additional User Added Transfer Courses need to be deleted.

Delete User Added Transfer Departments

A User Added Transfer Department cannot be deleted until all the courses within the Department have been deleted. As noted above, before this can occur, any evaluation tasks and equivalencies associated with courses in the User Added Transfer Department must be deleted. Additionally, all User Added Transfer Courses within the Department must be deleted.

Once the these steps have been completed, delete the User Added Transfer Department using the instructions below:

  1. Within the User Added Course Department page, select the Edit department button to the left of the Department's name.
  2. Select Delete.
  3. A message will appear asking for confirmation that the Department should be deleted.
    • Select OK.

Repeat these steps if additional User Added Transfer Departments need to be deleted.

Delete User Added Data Sets

A User Added Transfer Data Set cannot be deleted until all User Added Transfer Departments within the data set have been deleted. As noted above, this cannot occur until all evaluation tasks and equivalencies associated with any User Added Courses within the data set have been deleted. Additionally, all User Added Transfer Departments within the data set and User Added Transfer Courses within must also be deleted.

Once these steps have been completed, delete the User Added Data Set using the instructions below:

  1. Within the User Added Course Department page, select the DATA SET button from within the HOME --> INSTITUTION --> DATA SET --> COURSE DEPARTMENT breadcrumb trail.
  2. Within the User Added Data Set page, select the Edit data set button to the left of the CATALOG name.
  3. Select Delete.
  4. A message will appear asking for confirmation that the data set should be deleted.
    1. Select OK.

Repeat these steps if additional User Added Data Sets need to be deleted.

Delete User Added Transfer Institution

A User Added Transfer Institution cannot be deleted until all the User Added Courses, Departments, and Data Sets within it have been deleted. As noted above, evaluation tasks and equivalencies associated with any User Added Courses must be deleted first; then, associated courses, departments, and data sets - in that order.

Once these steps have been completed, delete the User Added Institution using the instructions below:

  1. Within the User Added Data Set page, select the INSTITUTION button from within the HOME --> INSTITUTION --> DATA SET breadcrumb trail.
  2. Within the User Added Institution page, select the Edit an institution button to the left of the INSTITUTION name.
  3. Select Delete.
  4. A message will appear asking for confirmation that the institution should be deleted.
    1. Select OK.
