Find Equivalencies through the Equivalency Search
The EQ Search, or Equivalency Search, is a feature within the Equivalency Batch Editor that locates specific groups of equivalencies in the institution's TES® database based on selected criteria. From there, equivalencies can be exported, edited, or deleted. This article reviews the process for finding equivalencies within the EQ Search. Individuals must have the CREATE EQ user right to use this functionality.

- Go to the Match menu.
- Select Equivalency Batch Editor.
- Select EQ Search.
Search Criteria
- Adjust the criteria below to locate equivalencies.
Field | Description/Instructions |
Institution | College, university, or organization the course is from. (select from the drop-down or search across all institutions the user's college or university has created equivalencies for courses at [SHOW ALL]) |
Course Code |
Course Code Course identifier (often structured as subject + number). Transfer Course Transfer institution course identifier. Equivalent Course Home institution course identifier. (enter the entire course code - for example, ENGL1475, or enter a partial course code) |
Public Note | Note displayed in the Public View. (Input the text into the search box. Results may include more than just the text entered.) |
Private Note | Note documenting the evaluation process or the rationale behind the evaluation. (Input the text into the search box. Results may include more than just the text entered.) |
Date Range | Searches can be performed across a range of dates or one day.
To find all equivalencies with an End Date of 8/31/2025, for example, enter the date in both the FROM and TO fields. The date range is a required field. If searching across any date range, CollegeSource recommends using 1/1/2005 as the FROM Create Date, as TES® was introduced in March 2005. The TO date default (the last day of the current month) would not need adjustment. |
EQ Status | Active Those equivalencies which have a Begin Date that has passed, but an End Date that has not yet occurred. In-Active Those equivalencies which have a Begin Date in the future, or an End Date that has already passed. For example, an equivalency with a Begin Date of tomorrow would be considered In-Active. Both Equivalencies with any or no Begin Date and End Date. (Toggle the radio button.) |
Public View Visibility | The visibility of an equivalency within the Public View is controlled by whether the Public View Hide? checkbox Public Equivalencies visible within the TES Public View. Example
The below example illustrates the criteria needed to find all active equivalencies to CollegeSource University's COMM103.
- The Institution default of [SHOW ALL] is used to locate equivalencies CollegeSource University has with any transfer school.
- COMM103 is entered into the Course Code field.
- Equivalent Course has been selected, as CollegeSource University is the home institution.
- Public Note and Private Note are left blank since they are irrelevant to the search.
- A FROM and TO date are required to be entered.
- Since this search is looking for all active equivalencies, the Create Date of 1/1/2005 was chosen—this was the year that TES® was introduced, so no equivalencies could have been created before that time. This search is being performed in May 2024, so the default TO date is not adjusted.
- The EQ Status field is set to Active, as the query looks for all active equivalencies.
- The Public View Visibility field is set to Both so that equivalencies both visible within and hidden from the Public View are returned in the results.
- The Creator field is left blank since the creator of the equivalency is irrelevant to the search.
When searching by these criteria, all active equivalencies from any transfer institution - regardless of Public Note, Private Note, Public View visibility, or creator will display:
Once search results are made available, they can be edited, deleted, or exported to Word or Excel in batch. A maximum of 2,000 results can be updated, deleted, or exported at once. The related articles below detail how to perform these actions.
Use Cases
The Equivalency Search is a powerful tool that can locate, edit, and report on equivalency data. Below are some examples of when institutions might use this feature.
Curriculum Changes
Equivalency Search can locate equivalencies that need maintenance due to curriculum changes. For example, if an institution's first-year writing course underwent a description change, a user could perform a search to locate and end-date all equivalencies at once instead of end-dating hundreds manually.
The Health Check reports within the Equivalency Batch Editor also have tools to help maintain equivalencies when curriculum changes.
Data Reporting
TES® can help institutions report information about transfer equivalencies to campus stakeholders. Equivalency Search enables users to find and export this data and share it in an easily understood format. When using the Equivalency Search to find data, it's essential to ensure that all parties have a clear picture of the question the institution is attempting to answer, as this will influence the needed search criteria.
Suppose that an institution's Psychology Department Head is interested in seeing how Psychology courses from the local community college currently transfer. The below search criteria would be used to find all active equivalencies within Psychology (PSY):
- The community college name is selected from the Institution drop-down list.
- The institution's Psychology course subject is PSY. A partial course code is used since the query seeks to find how all active equivalencies within the subject transfer.
- Transfer Course has been selected.
- Public Note and Private Note are left blank since they are irrelevant to the search.
- A FROM and TO date are required to be entered.
- Since this search is looking for all active equivalencies, the Create Date of 1/1/2005 was chosen—this was the year that TES was introduced, so no equivalencies could have been created before that time. This search is being performed in May 2024, so the default TO date is not adjusted.
- The EQ Status field is set to Active, as the query looks for all active equivalencies.

Note that if the Psychology Department Head were interested in seeing how courses from the local community college currently transfer into the home institution's Psychology department, that would be a different search. In that example, the home institution must enter the institution's Psychology course code in the Course Code field and select Equivalent Course.
