Batch Edit Equivalencies

The EQ Search, or Equivalency Search, is a feature within the Equivalency Batch Editor that locates specific groups of equivalencies in the institution’s TES® database based on selected criteria. From there, equivalencies can be exported, edited, or deleted. Individuals must have the CREATE EQ user right to use this functionality. This article reviews the process for editing equivalencies through the EQ Search.

Select Equivalencies

See Find Equivalencies through the Equivalency Search for instructions on locating equivalencies for editing.

A maximum of 2,000 results can be updated at once. If additional results are returned in the search, criteria will need to be refined to allow for batch editing.

Batch Edit Equivalencies

Once equivalencies have been located:

  1. Select Batch Edit.
In this example, Welding courses were previously not transferable to CollegeSource University (SH). However, the Dean has informed the Registrar's office that they can now be reviewed for potential credit starting Fall 2024. Select to view a larger version.
  1. Select the field(s) to edit below.

When querying for an equivalent course code, an additional field called Replace Home Course will appear on the page. See Replace Home Course for further instructions on updating the equivalent course.

Field Description/Instructions
Begin Date

First day on which the equivalencies are effective.

Format: (MM/DD/YYYY) 

If no Begin Date is entered, but this field is selected, the equivalencies are considered effective from the “beginning of time” (or at least since the course was created).

End Date

Last day on which the equivalences are effective.

Format: (MM/DD/YYYY) 

If no End Date is entered, but this field is selected, the equivalency is considered effective into the future.  

Public View Hide?

Yes

Hides the selected equivalencies from the TES® Public View.

No

The selected equivalencies will be displayed in the TES® Public View.

Public Note Note to display in the Public View.
Private Note Note documenting the evaluation process or the rationale behind the evaluation.


Users should be aware that BATCH EDITOR will update ALL currently selected equivalencies with ALL selected criteria. Edits replace (overwrite) existing data and cannot be undone. All existing data will be removed when a data field is selected but new data is not supplied.

To illustrate, marking the Public Note checkbox and then leaving it blank will wipe out all the Public Notes for the selected equivalencies. Typing information into the Public Note box will overwrite the existing Public Notes for the selected equivalencies.

  1. Select Submit.

Since welding courses can now be reviewed for transfer starting in Fall 2024, the institution will use the Equivalency Batch Editor EQ Search to end-date all active equivalencies at the end of Summer 2024.

If the updates made through the Equivalency Batch Editor fall within the parameters of the initial search criteria, changes to the selected equivalencies will appear within the grid. Otherwise, the user can select EQ Search and enter the updated criteria to verify the changes made.

Replace the Home Course

When entering a specific Course Code and toggling Equivalent Course within the EQ Search, after selecting Batch Edit, users are given the option to replace the home course within all selected equivalencies with one replacement course.

To update the equivalent course within selected equivalencies:

  1. Select Replace Home Course.

Call outs highlight the Replace Home Course field and additional text. Text reads: BATCH EDITOR will update ALL currently selected equivalencies with ALL selected criteria. Edits replace (overwrite) existing data and cannot be undone. All existing data will be removed when a data field is selected but new data is not supplied.  Replacing a home course updates that course within all selected equivalencies – including those containing multiple home course codes. BATCH EDITOR will not remove the other courses from the equivalency. Users should review all updated equivalencies containing multiple home courses to ensure accuracy and verify if manual updates are needed. Any changes to other fields above (such as Begin Date) will also apply to all selected equivalencies when updating a replacement course.

  1. The DATA SET and SELECT DEPARTMENT drop-downs will appear in the pop-up. Use these to select the replacement course.

In this example, a Transfer Specialist must retroactively change all equivalencies to COMM103 to a COMM1xx-level elective. Select to see a larger image.

  1. Select and update additional fields (if needed).

Since the replacement course is outside the original search parameters, results will not appear in the grid. Select EQ Search and search by the updated criteria to review changes made.

The search criteria above resulted in o data records found.
