How to Batch Edit Equivalencies

Building upon Finding Equivalencies through the Equivalency Search, this article overviews the steps needed to batch edit equivalencies using the Equivalency Batch Editor.

Selecting Equivalencies

First, locate the equivalencies that need batch editing, as detailed in the previous article. 

  • In our example,  CollegeSource University's COMM103 has undergone a curriculum change and will need re-review starting Fall 2022.

A maximum of 2,000 results can be updated at once. If one's search results produce more results, they will need to be refined to allow for batch editing.

Batch Editing Equivalencies

Equivalencies have been located using the Equivalency Search. To batch edit selected equivalencies, select Batch Edit.

The following screen will appear:

Note the red text: BATCH EDITOR will update ALL currently selected equivalencies. Edits replace (overwrite) existing data and cannot be undone. In instances where a data field is selected but not corresponding new data is supplied, NULL will be entered.

  • What does this mean? When batch editing equivalencies, ALL of the selected equivalencies will be updated, and edits will overwrite existing data for each field selected. Checking a box to edit an element and then leaving the field blank will “wipe out” the existing data in that particular field. 
    • For example, checking the Public Note checkbox, and then leaving the Public Note update text box blank, will wipe out all of the Public Notes for the selected equivalencies. Typing information into the Public Note box will overwrite the existing Public Notes for the selected equivalencies. 

Criteria

Using the Batch Edit function, institutions can:

  • Begin Date: change or add a Begin Date for/to all of the selected equivalencies.
  • End Date: change or add a End Date for/to all of the selected equivalencies.
  • Public View Hide?
    • change the flag to "Yes" to hide the selected equivalencies from the Public View.
    • change the flag to "No" to reveal the selected equivalencies in the Public View.
  • Public Note: change, add, or remove a Public Note to/for/from all selected equivalencies.
  • Private Note: change, add, or remove a Private Note to/for/from all selected equivalencies.

In the example noted, since CollegeSource University's COMM103 has undergone a curriculum change and will need re-review starting Fall 2022, the End Date box is checked, and 8/31/2022 is entered in the End Date field:

Select Submit to complete the updates (or, select Reset to clear all of the edit fields):

All active equivalencies to CollegeSource's COMM103 now have an 8/31/2022 End Date:
