Usage Statistics: Evaluation Tracker Use Report

Usage Statistics provides insight into how individuals at an institution use TES®. A TES Administrator can review these to glean valuable insight into what features staff and faculty use and how. This article provides an overview of the Evaluation Tracker Use report, which provides institutions with information about the school's use of the TES Evaluation Tracker workflow.

Generate a Report

  1. Go to the Manage menu.
  2. Select Usage Statistics.
  3. Navigate to VIEW REPORT.
    • Under Report Type, TES General Use is selected by default.
    • Select Evaluation Tracker Use.

Report parameters, as described below.

4. Adjust the report filters.

From Date:

The first date the data is collected from; defaults to the first day of the current month.

(use the calendar button to select or the keyboard to enter; format MM/DD/YYYY)

To Date:

The last day the data is collected from; defaults to yesterday's date.

The current date and future dates cannot be selected.

(use the calendar button to select or the keyboard to enter; format MM/DD/YYYY)

Who:

The TES user on which activity/usage will be reported.

(select from the drop-down or search across all users [EVERYONE])


Statistics returned are limited to the last ten years and cannot include the current date.

5. Select View Stats.

Statistical Calculations

The statistics returned will be divided into two main sections:

  1. EVALUATION STATISTICS SUMMARY.
  2. EVALUATION STATISTICS PER USER.

EVALUATION STATISTICS SUMMARY provides a report of actions as they pertain to evaluations within TES®. For example, the total number of evaluations assigned within the timeframe at the institution. 

The EVALUATION STATISTICS PER USER report on actions taken by individuals within TES®, such as the total number of evaluations created by a user.

Given this, the counts and timeframes stated within Evaluation Tracker Use statistics could include or pertain to evaluations created or remaining open outside the queried date range.

Institutions can utilize the reports noted or select Show Prior Statistics View to see statistical calculations illustrated in the reporting structure in place prior to Winter/Spring 2021.

EVALUATION STATISTICS SUMMARY is divided into two sections:

  1. Evaluation Actions.
  2. Evaluation Turnaround Time in Days.

Evaluation Actions

Aggregate activity within the Evaluation Tracker workflow during the selected timeframe: 

  • ASSIGNED - Total number of evaluations; includes evaluations that were re-opened.
  • REASSIGNED - Total number of evaluations reassigned.1
  • REASSIGNED BY CREATOR - Total number of evaluations reassigned by the evaluation creator.1
  • REASSIGNED BY OTHER - Total number of evaluations reassigned by someone other than the evaluation creator.1
  • APPROVED - Total number of approved evaluations.
  • DENIED - Total number of denied evaluations.
  • CLOSED - Total number of closed evaluations.
  • POSTED EQ - Total number of evaluations posted as an equivalency.

1 This count includes evaluations re-assigned within any point of the evaluation process. When the actions of Approve, Deny, or Need More Information are selected, they can be calculated as re-assignments.

Evaluation Turnaround Time in Days

Evaluation response times during the selected timeframe, calculated as noted:

  • APPR/DENY MIN - Shortest timeframe (in days) between when an evaluation was created and then approved or denied.
  • APPR/DENY MAX - Longest timeframe (in days) between when an evaluation was created and then approved or denied.
  • APPR/DENY AVG - Mean (average) number of days between when evaluations were created and then approved or denied.
  • APPR/DENY MEDIAN - Median number of days between when evaluations were created and then approved or denied.
  • CLOSED MIN - Shortest timeframe (in days) between when an evaluation was created and closed.
  • CLOSED MAX - Longest timeframe (in days) between when an evaluation was created and closed.
  • CLOSED AVG - Mean (average) number of days between when evaluations were created and closed.
  • CLOSED MEDIAN - Median number of days between when evaluations were created and closed.

  2. Evaluation Turnaround Time in Days Per User.

Evaluation Actions Per User

Activity within the Evaluation Tracker workflow during the selected timeframe by user:

  • NAME - Name of the user.
  • CREATED -Total number of evaluations created by this user.
  • ASSIGNED TO - Total number of assignments of evaluations to this user; includes re-opened evaluations.
  • ASSIGNED - Total number of assignments of evaluations by this user; includes re-opened evaluations.
  • REASSIGNED TO - Total number of reassignments of evaluations to this user.1
  • REASSIGNED - Total number of reassignment actions by this user.1
  • APPROVED - Total number of Approve actions by this user.
  • DENIED - Total number of Deny actions by this user.
  • CLOSED - Total number of Close actions by this user.
  • POSTED EQ - Total number of evaluations posted as equivalencies by this user.

Evaluation turnaround times per user during the selected timeframe, calculated as noted:

  • APPR/DENY MAX - Longest timeframe (in days) between when an evaluation was created and then approved or denied.
  • APPR/DENY AVG - Mean (average) number of days between when evaluations were created and then approved or denied.
  • APPR/DENY MEDIAN - Median number of days between when evaluations were created and then approved or denied.
  • CLOSED MIN - Shortest timeframe (in days) between when an evaluation was created and closed.
  • CLOSED MAX - Longest timeframe (in days) between when an evaluation was created and closed.
  • CLOSED AVG - Mean (average) number of days between when evaluations were created and closed.
  • CLOSED MEDIAN - Median number of days between when evaluations were created and closed.
