Health Check Report: Course Not Found in Your Most Recent Catalog

The Equivalency Batch Editor Health Check Reports allow you to troubleshoot and maintain your equivalencies from the target/home course perspective. The first of the Health Check Reports is the COURSE NOT FOUND IN YOUR MOST RECENT CATALOG report. This report identifies current, active equivalencies to courses that are no longer in your catalog.

  • Open the Equivalency Batch Editor.

  • Click the Health Check button.

  • Select the Course Not Found in Your Most Recent Catalog radio button.
  • Click the Submit button.

The screenshot above does not include any equivalencies with multiple target courses. If you have an equivalency defined to multiple target courses, any of which no longer appear in your catalog, there will be a check in the MULTIPLE column. Proceed to the section titled Multiple = True for further explanation on your options with respect to equivalencies to multiple target courses where one or many of them no longer appear in your catalog.

  • To see the (current) equivalencies associated with a single target course that no longer appears in your latest catalog, click the arrow button next to that target course.

  • The equivalencies where the course was used in an equivalency are displayed. In this example, AA 150 – OBSERVATIONAL ASTRONOMY was selected. Use the arrow button beside each equivalency if you would like to view the equivalency details.
  • Click the Edit EQ button.
  • There are three options:
    • Replace the target course.
    • End Date the current equivalency.
    • End Date the current equivalency, and replace the target course in a new (copied) equivalency.

  • Option I allows you to Replace the target course. The new target can be from the same academic department or a different one. If you have added User-Added Courses to your catalog, they are also displayed and available to be selected. Only one course can be selected.
    • Select the “Replace” radio button.
    • Click the Submit button.

  • Select the department.
  • Select the radio button for the course
  • Click the Update button.
  • You will return to the list and can continue working to maintain the other items.
    • The item you just corrected will no longer appear on the list.
  • The Replace action will be recorded in the EQUIVALENCY LOG for each of the equivalencies.

  • In this example, you can see the "EQ Health Check Batch Edit: Replace AA 150 with AA 1XX" message in the EQUIVALENCY LOG along with the date, time, and individual that took that action.
  • Option II allows you to Date Cap the selected equivalencies, making them (all) inactive.

  • Select the “End Date” radio button.
  • Click the Submit button.

  • Enter the End Date.
  • Click the Update button.
  • You will return to the list and can continue working to maintain the other items.
    • The item you just corrected will no longer appear on the list.
  • The End Date action will be recorded in the EQUIVALENCY LOG for each of the equivalencies.

  • In this example, you can see the "EQ Health Check Batch Edit: Set End Date = 09/30/2017" message in the EQUIVALENCY LOG along with the date, time, and individual that took that action.
  • Option III combines both of the previous options. It allows you to Date Cap the existing equivalencies and Replace the existing course - by copying the equivalencies and replacing the target course. You will add an End Date to the existing equivalencies and optionally add a Begin Date for the new equivalencies moving forward. You can Replace the course from the same academic department or a different one. If you have added User-Added Courses to your catalog, they are also displayed and available to be selected.
  • Select the “End Date and Replace” radio button.
  • Click the Submit button.

  • Enter the End Date for the existing equivalencies.
    • Enter an optional Begin Date for the new equivalencies.
  • Select the department.
  • Select the radio button for the new target course.
  • Click the Update button.
  • You will return to the list and can continue working to maintain the other items.
    • The item you just corrected will no longer appear on the list.
  • The End Date action will be recorded in the EQUIVALENCY LOG for each of the equivalencies.
  • The Replace action will be recorded in the EQUIVALENCY LOG for each of the equivalencies.

  • In this example, the first screenshot displays the "EQ Health Check Batch Edit: Set End Date = 09/30/2017" message in the EQUIVALENCY LOG - along with the date, time, and individual that took that action - for the old equivalency.
  • The second screenshot displays the "EQ Health Check Batch Edit:Copy EQ - Replace AA 150 with AA 1XX" message in the EQUIVALENCY LOG - along with the date, time, and individual that took that action - for the new (copied) equivalency.
  • The Course will no longer appear in the Health Check: Course Not Found in Your Most Recent Catalog list.
