Groups

Would you like to display a list of equivalents for an institution in your Public View? How about a list of program requirements? Articulation agreements? Transfer guides? 

Groups and Group Reports display groups of courses, lists, articulation agreements, etc. The equivalencies in these groups are kept up-to-date by TES. If any change is made to the underlying equivalency, it is automatically changed in the Group and the Group Report. These are dynamic reports – not static reports. TES pulls the current equivalencies every time one of the lists is displayed.

Storing equivalencies in TES is a prerequisite to take advantage of this feature. Group Reports are built from Groups. Groups are reusable and can be combined in any order to create new Reports.

  • Group and Group Reports are stored, just like the underlying equivalencies, at the institution level in the Equivalency Manager. Select an institution from Equivalency Manager and then click the Groups button.

  • If there are any previously created Groups and/or Group Reports they will display.

Adding an "Empty" Group

Generally, your groups will contain equivalencies that will show the prospective transfer student what courses they can take at their transfer institution and what credit they can expect to receive at your institution. There may be times, however, that you want to create a group that is informational only. We refer to these as "empty" groups (meaning there are no equivalencies added to the Group). To create an empty group, simply add text to the Public Note section of the Group. Do not add any equivalencies to the Group.

  • To create a new (empty) Group, click the +Add Group button.

  • Enter the Header information for the Group:
    • Group Name (upper- and lower-case won’t affect the display; the name will appear in all upper-case.)
    • Public View Display? Groups default to hide from Public View. Check the checkbox if you would like for the Group to display in the Public View.
      Best practice is to hide the Groups and display the Reports (using the groups), however, the functionality does exist for you to display individual Groups if you wish to.
    • Public Note [optional]. Using HTML codes will allow for bolding, underlining, italics, paragraphs, etc.
    • Private Note [optional] (this note will not display in the Public View or the Equivalency Finder).

Here are some basic HTML tags, to help you add emphasis to the public notes in Groups and/or the subheader text in Reports. Most tags are pairs that turn the feature <on> and the </off>:

  • Bold text = <b>text</b> (the text will appear with bold formatting).
  • Underline text = <u>text</u> (the text will appear with underline formatting).
  • Italic = <i>text</i> (the text will appear with italic formatting).
  • Paragraph = <p> (ends the paragraph and inserts a blank line).
  • Add a hyperlink = <a href= “Web Address”>text</a>. An example is:

    <a href="http://www.collegesource.com">CollegeSource Website</a>.

    • This creates a hyperlink that when clicked on will direct the user to the CollegeSource Website.
  • Add color (red) to text = <span style="color:red"> body text </span>
    • This can be used to change to basic colors: red, blue, green, black, white, etc.
  • Change the size of text
    • <big>text</big> - increases by one font size
    • <small>text</small> - decreases by one font size
    • <h1>text</h1> - displays text in biggest Heading Style
    • <h6>text</h6> - displays text in smallest Heading Style
    • <font size="1">text</font> - displays text in smallest font size (8 pt)
    • <font size="7">text</font> - displays text in largest font size (36 pt)
      • The <small> and <big> tags can also be compounded. For example:
        <big><big>text</big></big> - increase by two font sizes
        <small><small>text</small></small> - decrease by two font sizes
  • Click the Submit button.

Adding a Group With Equivalencies

To create a group, add equivalencies to the Group after you add the header information.

  • To create a new Group, click the +Add Group button.

  • Enter the Header information for the Group:
    • Group Name (upper- and lower-case won’t affect the display; the name will appear in all upper-case.)
    • Public View Display? Groups default to hide from Public View. Check the checkbox if you would like for the Group to display in the Public View.
      Best practice is to hide the Groups and display the Reports (using the groups), however, the functionality does exist for you to display individual Groups if you wish to.
    • Public Note [optional]. Using HTML codes will allow for bolding, underlining, italics, paragraphs, etc.
    • Private Note [optional] (this note will not display in the Public View or the Equivalency Finder).

  • Click the Submit button.
  • You will be able to add the course equivalencies to the Group.
    • Filter the equivalencies if it will make it easier to select them. 
      • Hit enter, or use the Search button.

  • Click the checkboxes and use the Add button to add the desired course equivalencies to the Group.

  • As you add the courses, they will display under the Header.

Editing a Group

If you need to make changes to a Group, you can make changes to the Header and/or the equivalencies within the group.

  • Click the arrow button next to the Group to edit it.

  • Click the Edit Group Header button to edit the header information.

  • Update the Group Name, check or uncheck the Public View Display checkbox, add or edit the Public Note, and/or add or edit the Private Note.

  • Click the Submit button to save the changes.

  • To edit the equivalencies, you can click the X button to remove an equivalency, or check a box and click the Add button to add an equivalency to the group.1

  • If you would like to view the Group, click the View Group button available at the Edit screen.
    • Viewing the Empty group.
    • Viewing the Group with Equivalencies.

Deleting a Group

You can delete a Group from the Equivalency Groups screen if you have the CREATE EQ user right. This is just one of the reasons that you should be very sure that staff with this user right truly understand the user right. If they delete a Group or a Group Report, it removes it from the entire database (not just their screen). Deleting a Group or a Group Report cannot be undone. The deleted Group or Group Report will need to be rebuilt from scratch if it is accidentally/inadvertently deleted.

  • To delete a Group, click the X button next to the Group in the Equivalency Groups screen.

  • Answer the prompt.

  • The Group will be removed.

There is no limit to the number of Groups or Group Reports that you can add to TES. Maintaining your Groups and Group Reports is extremely efficient. Changes to underlying equivalencies are managed in the Equivalency Manager and are automatically reflected in all Groups and Group Reports where they are displayed. There is no need to edit the Groups or Group Reports that include the equivalency. Similarly, edits to Groups are automatically reflected in any/all Group Reports that use those Groups. There is no need to edit Group Reports that include the updated Group.

1 If you need to change an actual equivalency, you will do that in the Equivalency Manager. Any Group that is using that equivalency will be automatically updated following the update to the equivalency.
