Create Evaluation Tasks: Single Eval Mode, Batch Eval Mode, and Sequence Eval Mode
This article provides an overview of the three modes by which evaluation tasks can be sent for review.
In this article:
When creating evaluation tasks, individuals with the CREATE EVAL user right can send an evaluator a single course or a group of courses for review. When sending a group of courses for review, users can choose between sending them as one evaluation or creating separate evaluation tasks for each course.
Three modes are available in TES® to facilitate these different means of evaluation:
Each mode is listed as an option on Add Evaluation Task 1.
If creating evaluation tasks through the Course Finder, users must first select the course(s) to be evaluated and then select Create evaluation for all courses below (the footprint icon).
Single Eval Mode
Single Eval Mode is selected by default when creating an evaluation task. It is used to create a single evaluation task for the course or courses selected. This means that if two or more courses are selected from the transfer institution, one evaluation task will be created that will contain all these courses.
Institutions will want to use Single Eval Mode when creating evaluation tasks in the following instances:
- When one course needs review.
- When two or more courses need to be evaluated together. Example: A lecture/lab combination.
In each of these instances, a single evaluation task will be sent to the selected evaluator containing every course chosen by the evaluation task creator.
In the example below, PHYS1201 & PHYS1202 are being sent for review using Single Eval Mode.
After selecting the Preview button, a message on Add Evaluation Task 2 indicates that single mode has been selected and one evaluation task will be created.
Batch Eval Mode
Individuals can use Batch Eval Mode to send multiple courses for review. Here, a separate evaluation task will be created for each transfer course. If the Send email alert? checkbox is selected, one email will be sent to the evaluator assigned the tasks.
Institutions will want to use Batch Eval Mode when multiple courses need to be reviewed by the same evaluator and:
- No comments need to be attached to the evaluation, or the same comment can be applied to all evaluation tasks;
- No equivalency is proposed, or the proposed equivalency or equivalencies apply to all the transfer courses; and
- Syllabi do not need to be attached to the evaluations, or the user has the appropriate user rights to attach the syllabi to each evaluation task after they have been created.
Syllabi cannot be attached to evaluations within Batch Eval Mode. However, they can be attached to evaluation tasks after they are initiated via the My Evaluations and All Open Evaluations queues. The SERVICE EVAL user right is required to access My Evaluations. The SERVICE EVAL and MANAGE EVAL user rights are required to access the All Open Evaluations queue.
Users can select up to ten transfer courses (and up to ten equivalent courses) within each batch.
In the example below, evaluation tasks are being created for seven carpentry courses using Batch Eval Mode. The call-out notes that separate evaluation tasks will be created for each transfer course.
After selecting the Preview button, a message will additionally appear on Add Evaluation Task 2 indicating that batch mode has been selected and seven evaluation tasks will be created.
Sequence Eval Mode
Individuals can use Sequence Eval Mode to send a series or sequence of courses to an evaluator as individual evaluation tasks, each with a proposed equivalency. With Batch Eval Mode, users are not required to select proposed equivalent courses. If selected, all proposed equivalencies would apply to each evaluation task. With Sequence Eval Mode, the user must select one (and only one) equivalent course for each transfer course. An evaluation task will be created for each course, with the proposed equivalency on the same line as the transfer course. If the Send email alert? checkbox is selected, only one email will be sent to the evaluator assigned the tasks.
Institutions can use Sequence Eval Mode to quickly and efficiently initiate evaluation tasks with proposed equivalencies for a series of courses. For example, an individual could create evaluation tasks for a series of Calculus courses, wherein the user proposes that the transfer/home institution versions of Calculus I are equivalent, of Calculus II are equivalent, etc.
Similar to Batch Eval Mode, Sequence Eval Mode should only be used if:
- No comments need to be attached to the evaluation, or the same comment can be applied to all evaluation tasks; and
- Syllabi do not need to be attached to the evaluations, or the user has the appropriate user rights to attach the syllabi to each evaluation task after they have been created.
Syllabi cannot be attached to evaluations within Sequence Eval Mode.
Users can select include up to ten transfer courses (and up to ten equivalent courses) within each sequence.
Using the example above, three separate evaluation tasks are created using Sequence Eval Mode for East Arkansas Community College's Calculus I, II, and III. The top call-out notes that separate evaluation tasks will be created for each transfer course and equivalent course in the sequence.
After selecting the Preview button, a message will additionally appear on Add Evaluation Task 2 indicating that sequence mode has been selected and three evaluation tasks will be created - one for each course/proposed equivalency.
