Course Change Explorer

One of the most time-consuming - and frankly most often overlooked - aspects of transfer equivalency evaluation is the maintenance of your current equivalencies. The best practice is to set up a schedule to review your equivalencies periodically - whether you do that annually, bi-, or tri-annually, or on-demand. You may also elect to have a more robust schedule for your prominent feeder institutions while reviewing other source institutions less frequently. The Course Change Explorer in TES allows you to review changes to incoming transfer courses. The report, located within Equivalency Explorer, allows you to compare two catalogs from any institution. You get a list of all of the courses that have changed, all of the courses that have been dropped, and all of the courses that have been added. The Course Change Explorer saves valuable time in the review process of incoming, transfer courses.

To navigate to the Course Change Explorer, go to the Match menu, and select Equivalency Explorer. Select the Course Change Explorer report.

Comparing Two Catalogs

The Course Change Explorer report highlights the changes in courses from one catalog to another in a matter of seconds and makes it very easy for the evaluator to determine what needs to be reviewed.

  • Type in the name, initials, state, or city of the institution you would like to review.
  • Click Search and then select the Institution.

  • Select the two data sets to be compared (DATA SET 1, DATA SET 2) and select Compare.

  • When CollegeSource gets multiple catalog versions from institutions, we ask for them to designate which catalog is the primary undergraduate catalog. The PRIMARY TITLE ONLY checkbox (checked by default) filters the list to just those catalogs. If you remove the check, you will see the full list of available catalogs.

TES compares every course code, title, description, units/credits, prerequisite, corequisite, lecture hours, lab hours, recommendation, term(s) offered, and grade basis from these two datasets and provides a list of the courses that have CHANGED, been DROPPED, and ADDED.

Changed

  • The Changed List reports each course compared and marks the appropriate column for changes.

  • If you would like to also see the courses with no changes detected, you can check the INCLUDE COURSES WHERE NO CHANGE DETECTED checkbox.
  • You can navigate through the list using the PAGE index tiles.

  • Select any of the entries by clicking the arrow next to the course code.

  • The first column displays the 2020-2021 version of this course and the second column displays the 2021-2022 version.
  • The heading for any of the changed elements will display in red text.
  • Elements that were added from one catalog to the next will appear with blue shading.
  • Elements that were removed from one catalog to the next will appear with red shading.
  • Use the puzzle piece icon to create an equivalency or the tracker (shoes) icon to route out for evaluation.
    • The puzzle piece icon displays the Course Finder screen with tools to assist with evaluation. If you have an equivalent in the TES database for this course, you will see it in the EQUIVALENCY HISTORY section.

  • If you have an existing equivalency that will need to be re-evaluated based on the changes to the course, the tracker icon displays the Evaluation Tracker screen to route the course for transfer evaluation.

Dropped

  • The Dropped list displays the courses that exist in DATA SET 2, but not DATA SET 1. 

  • Select any of the entries by selecting the arrow button next to the course code.

  • Use the puzzle piece icon to determine if you have an equivalency that might need to be end-dated.

Added

  • The Added list reports any course that exists in DATA SET 1, but didn't exist in DATA SET 2.

  • Select any of the entries by selecting the arrow button next to the course code.

  • Use the puzzle piece icon to create an equivalency or the tracker icon to route an evaluation task out for review.
    • The puzzle piece icon displays the Course Finder screen with tools to assist with evaluation.

  • The tracker icon displays the Evaluation Tracker screen to route the course for transfer evaluation.

Stored Equivalencies Affected

You can use the Course Change Explorer report whether you store equivalencies in TES, or not. However, there is an added feature that institutions that store equivalencies in TES can take advantage of. All three lists now include a column to the far right that identifies stored equivalencies that include the Changed/Dropped/Added course.

  • Click the EQ? column heading to sort the Changed/Dropped/Added courses that are included in your stored equivalencies to the top of the list.
  • Select the checkmark in the EQ? column.
  • Click the arrow for the course (E.g. ADSC1715) to review the equivalency.
    • A message will display alerting you that you are about to navigate to the Equivalency Manager.
    • Click OK to move to the Equivalency Manager:

Export

 You can now export the list of Changed, Dropped, or Added courses to Excel so that you can work on it offline (or just keep it handy while you make the necessary updates in the Equivalency Manager).

  • Click the Export button to export the selected list to Excel.

  • This list can then be manipulated using Excel.
    • For example, if you would like to filter the list of Changed courses to just show the courses that you have stored equivalencies for, use the filter arrow at the top of the EQ? Column and de-select FALSE:
